Build a report

Answer a question about your data: pick an object, pull in related records, filter, group and export.

A list view answers "show me these records". A report answers "what happened, and how much". Analytics is where you build one, keep it, share it, and have it land in your inbox every Monday.

Before you start: you need permission to view Analytics, and permission to create to make a new report. The Analytics link is in the sidebar for everyone, so if the page tells you to ask an administrator, that's what it means.

Build one

Analytics, then New report

The left panel turns into the report builder. Everything you choose here can be changed later, except the object.

Name it, and pick a folder

Folders are how reports stay findable a year from now, and they decide who can see what: an item inherits its folder's sharing.

Report on an object

Supporter, Account, Donation, Fund, Campaign, Payout or Recurring donation. This is the one thing you can't change afterwards, because every column hangs off it.

All of that object's fields come in, including your custom ones.

Add related data

Each related object is one click, labelled Lookup (one linked record, like a donation's fund) or 1-to-many (many linked records, like a supporter's donations).

Filter it down

+ Add under Filters. Conditions work exactly as they do on a list view.

Save

Your report opens as a grid you can keep refining.

Reporting on Donation and adding Supporter answers "who gave", while reporting on Supporter and adding Donation answers "what has each person given". Same two objects, different question. Pick the object you want one row of.

Dates the way people actually ask for them

Date filters take a Relative mode as well as Before, After and Between, so a report keeps answering the same question next month:

  • This, Last (complete) and To date, by day, week, month, quarter, year or fiscal year.
  • Last N and N ago, when you want the last six months or the quarter before last.

That's how you build "gifts this fiscal year to date" once and never touch it again.

Refine the grid

Select Edit and the toolbar grows.

Choose which fields show, and drag them into the order you want. Fields from related objects start hidden, so the grid stays readable until you ask for them.

Seeing each record more than once? That's a one-to-many relationship doing its job: a supporter with twelve gifts is twelve rows. Group by a field from the parent and the grid folds back up. Givable shows a hint when it spots this.

Amounts, and which currency you're looking at

Show in org currency is on by default, so every amount is stated in your organization's currency and the totals add up. Turn it off to see each gift as the donor gave it.

The money total shows the figure in your currency with a per-currency breakdown underneath, so an international report never quietly adds dollars to euros. On the donation object, Amount, Amount (donor currency), Currency, Settled amount and Settlement currency are separate fields you can put on the grid.

Export it

Export offers Download CSV, Download Excel (XLSX) and Copy table, and each one takes exactly what you're looking at: your columns, in your order, with your sort, search and currency setting.

An export tops out at 50,000 rows, and tells you when it has capped one. Filter down, or export in slices.

Share it, and mail it out

Share decides who can see the report: everyone in your organization, particular people, or whole roles, each as Can view or Can edit. Folders share the same way, and moving an item into a folder can widen who sees it. Givable warns you when it's about to.

Schedule email sends it out on its own: daily, weekly or monthly, at a time and timezone you choose, to teammates or to typed-in staff addresses. Each email carries a preview and a link back into Givable.

A scheduled report can contain donor details, and email is not a secure channel. Givable asks you to confirm you understand that before the schedule can be created. Send to your team, never to a shared inbox you don't control.

Keep the list tidy

Each report and folder has a menu for Copy, Move, Share, Details (who made it and when it last changed) and Delete. Recently viewed on the Analytics home gets you back to what you were in yesterday, and the search box finds a report by name.
